Publication
Subvention Information
A publication
subvention is sometimes required by a publisher to help
defray the expenses of publishing a scholarly book. The
Research Board normally only provides publication subvention
assistance in cases where the publisher is:
A non-commercial
press,
Uses a peer-review mechanism for selecting books to publish,
and
Stipulates that the subvention is necessary for the book
to be published, as in the case where the anticipated sale
is too small or too slow to permit timely recovery by the
publisher of initial production expenses.
Authors should
not suggest the possibility of a publication subvention
in their communications with the publishers.
Policy
The Research
Board's policy for publication subventions requires that:
The board must
be advised of the specific terms of the proposed contract
between author and publisher, including the subvention required
and the terms under which any revenue generated by the sale
of the work shall be returned to the author.
The board shall
generally require the assignment of any prospective author
revenue to the Research Board up to the amount of the subvention
granted.
The author shall
agree to provide one copy of the publication to the University
of Illinois Library.
If the applicant
wishes to request a departure from the board's normal practice
as stated above, the applicant should provide an explicit
explanation and justification for the departure.

Application
Requirements
The regular Research
Board application form (Revised May 2001) should be used.
The line for publication subvention should be marked in
the special programs area. The narrative proposal should
contain all of the items outlined in the application form
plus the following information:
Title of work
to be published.
Description of
work: its nature, place in the field, potential significance,
length, language used, special features, if any.
Context of proposed
publication in scholarly work of the applicant.
Copy of comments
of the Press' expert reviewer(s).
Name and address
of the publisher.
Description of
publisher: commercial or non-commercial, reputation for
quality of publications in the field of the work involved,
review process used for selecting works to be published.
Amount of subvention
requested and reason publisher requests subvention.
Copy of letter
from the publisher requesting a subvention. This should
include an explanation of the need for subvention, and a
budget for production and sale of the book.
Copy of the contract
for publication.
Description of
the arrangement between the author and the publisher for
royalties, unless covered in the contract.
Other support
requested or received toward the subvention, if any.
N.B. All material
in a foreign language should be accompanied by a translation
in English.
An Assignment between the Board of Trustees of the University
of Illinois and the author will be prepared by the Research
Board office. The Assignment will need to be signed by the
author, endorsed and notarized by the publisher, and returned
to the Research Board Office. Once the Assignment is returned
to the Research Board office, an account will be established
so that payment can be made to the publisher following regular
University procedures. Royalties paid to the University
under such Assignments are returned to the Research Board
for its use in supporting faculty research and scholarship.
If no royalties from the initial printing are to be paid
to the author, an Assignment will not be necessary.
